Splitting travel costs fairly in a group

Money is the most common reason for a bad mood on group trips. Usually not because anyone wants to be unfair, but because nobody has an overview. With a few rules before you leave and a shared list while you’re away, things stay relaxed.

What should you agree on before the trip?

Agree on three things before you set off:

  1. What do you share? Accommodation, hire car, fuel and groceries almost always. Restaurants, excursions and drinks often only among those who are there.
  2. How do you split? Equally among everyone is the simplest. If someone has a bigger room or joins for a shorter time, an unequal split fits better.
  3. When do you settle up? Ideally once at the end of the trip, not after every coffee.

Equally, by percentage or by amount: which fits when?

  • Equally: for everything everyone uses in the same way, such as fuel or the weekly shop.
  • By percentage: when shares are fixed but different, for example 60 / 40 between a family and a couple.
  • By fixed amounts: when everyone knows exactly what they had, for example at a restaurant (€30 and €20).
  • Only some people chip in: anyone who didn’t come on the excursion is simply deselected for that expense.

What if several people pay at the same time?

It happens more often than you’d think: two people club together at the petrol station, three share the hotel bill. Enter the expense once and add all payers with their amounts. Expenses entered twice are the most common reason for incorrect settlements.

How do you settle up at the end with as few transfers as possible?

Instead of everyone owing everyone something, all expenses are offset against each other. In the end, only a few payments are left: "Tom pays Emma €167.83". HelloKiwi shows this settle-up ("Who pays whom?") automatically as soon as the expenses have been entered.

Tips from experience

  • Enter it straight away, ideally while you’re still at the till. By the evening, nobody remembers who paid for parking.
  • One place for all expenses. Gathering up notes, chat messages and bank statements takes more time in the end than the trip itself.
  • Everyone can add expenses, not just one person. That spreads the work and builds trust.
